PRIVACY NOTICE
Last updated: October 2026
This notice explains what personal information Crescent Conditioning collects, why, and what you can do about it.
WHO WE ARE
Crescent Conditioning is run by Peter Totten, a sole trader based in Birmingham, UK. Peter is the data controller for your information. Contact: peter@crescentconditioning.com.
WHAT WE COLLECT
Contact details: name, email, phone and anything you write in a message, application or booking.
Coaching information: your sport, fight dates, training history, goals, body weight and measurements, performance test results and training logs.
Health information: injuries, medical conditions, medication, PAR-Q answers and nutrition-related disclosures. This is "special category" data and gets extra protection (see below).
Photos and video: only if you agree to them, for coaching feedback or marketing, as you choose.
Payment details: handled by our payment providers. We see what you paid and when, not your full card number.
Website data: basic information about how the site is used, collected through cookies (see the Cookie notice).
WHY WE USE IT, AND OUR LEGAL BASIS
Replying to enquiries and applications: legitimate interests (responding to people who contact us).
Delivering coaching, testing and nutrition support: contract.
Using health information to keep your training safe and suitable: your explicit consent.
Taking payments and keeping business and tax records: contract and legal obligation.
Using photos or video in marketing: your consent, which you can withdraw at any time.
Keeping the website working and secure: legitimate interests.
You don't have to share health information, but without it we may not be able to coach you safely, and we may decline or limit sessions.
WHO WE SHARE IT WITH
We never sell your information. We share it only with the services that help run the business, each bound to keep it secure:
Wix (website, forms, bookings, payments)
Google (application forms and secure storage)
Relay Athletic (training app, if you use it)
Payment processors used at checkout
Professional advisers such as an accountant, where needed
Some of these providers may store data outside the UK. Where they do, they use legal safeguards approved under UK data protection law.
We will share health information with emergency services if your safety is at risk during a session.
HOW LONG WE KEEP IT
Enquiries that don't go further: up to 12 months.
Client records and payments: 6 years after coaching ends, for tax and legal reasons.
Health information: for the length of coaching, then deleted within 12 months unless we need it for a legal claim.
Photos and video: until you withdraw consent, or we stop using them.
YOUR RIGHTS
You can ask to see your information, correct it, delete it, limit how we use it, move it to another provider, or object to how we use it. You can withdraw consent at any time, which won't affect anything we did before. Email peter@crescentconditioning.com and we will reply within one month.
If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to sort it out first.
UNDER 18S
We only coach under 18s with a parent or guardian's consent, and the parent or guardian completes the health questions.
CHANGES
We'll update this notice when anything changes and show the new date at the top.
